Use top-down feedback

 

Create surveys using the question library

 

With LoopNow, you can easily create top-down feedback surveys in just a few steps. As an administrator, you have access to our extensive, scientifically-based catalog of topics and questions. You can define in the survey settings who will be asked about which topics, which people or groups can view the results, when the survey starts or ends, and whether reminders should be sent to participants.

Top-down feedback allows you to get assessments from managers on their team members. To get started, simply choose the "Manage Surveys" option from the left side menu in LoopNow and follow the steps outlined in the previous section. With LoopNow, you can streamline your feedback collection process and make better-informed decisions about your teams.

 

 

Create Top-Down Feedback (survey)

  1. From the main menu on the left side of the screen, click on "Manage Surveys" via the clipboard icon.

  2. Click on "+ Create Survey."

  3. In the "Top-Down°" field, enter a name or title for the survey.

  4. Click "Next" to proceed.

  5. Select one or more pulse topics and questions from the library or create your own topics and questions.

  6. Confirm your selection by clicking "Save change".

  7. Using the settings icon (three sliders) located in the upper right corner, you can customize the survey's title and invitation text. Note that the invitation text will be used in the invitation email and can help prepare respondents for the survey's content and purpose.

  8. Enter the people or groups, including managers, for whom you want to collect feedback.

  9. Choose whether the feedback should be anonymous, keeping in mind the required threshold of anonymous respondents.

  10. Choose whether the persons in the center (self selection) or their managers (manager selection) can invite respondents from the start time of the survey. If a person is selected twice, they will still be invited and informed only once.

  11. Choose whether the managers should also do a self-assessment.

  12. Enter the users who are allowed to view the answers.

  13. Choose whether managers and/or their superiors are allowed to see answers about the managers.

  14. Choose a suitable schedule, and set a deadline using the "Fixed deadline" schedule.

  15. Fill in the corresponding fields.

  16. Finally, save the survey as a draft (feedback request not active) or send it at the start date (feedback request active).

Introduce own topics & questions

In LoopNow, you can either store existing paper or system questionnaires or create a new survey from scratch. If you plan on adding new questions, it's helpful to decide whether you want to use open-ended questions or numerical scales. We recommend using numeric scales like a 5-star scale since they allow for comparisons across different departments and enable you to track changes over time. Additionally, you have the flexibility to create custom scales using numbers, stars, or text, but make sure to use the color code correctly (green = positive, red = negative).
Note that you can only assign one scale per topic to ensure accurate evaluation of results. To create or modify topics and questions, follow these steps:

  1. To create or modify topics and questions, go to "Edit Topics & Questions" in the left side main menu via the clipboard icon.

  2. Click on "+ Add topic with questions" to create a new topic.

  3. Click on the "People" button, enter the topic title, and click "Next".

  4. You can adjust the title and description of the topic, and delete it if needed, via the settings icon.

  5. Click on "+ Add question to [topic name]" to add a question or statement.

  6. Provide the question for external evaluations (i.e., how the colleague sees the question) and also provide the same question in "I" form for self-assessment by the person at the center.

  7. You can add an optional description and suggestions for improvement.

  8. Adjust the translation if you want to output the survey in multiple languages.

  9. Click "Save" and repeat the process to add more questions/statements.

  10. Finally, select the response/rating scale provided for the topic.

  11. Click "<- ALL TOPICS" to return to the topic overview.

To adjust the survey, follow these steps:

  1. Go to the surveys overview under the "Manage surveys" menu item.

  2. If needed, filter by "TOP-DOWN".

  3. Access the survey settings view through one of the following methods:

    • Option 1: Hover over the survey in the overview to make the cogwheel visible and click on it.

    • Option 2: Click on the survey and select the gear icon next to the title in the upper area.

  4. You can now view and modify the survey details.

  5. Once you've made the necessary adjustments, click on "Save" to confirm the changes.

  1. To answer a survey, follow these steps:

  2. You will receive an email inviting you to answer the survey.

  3. Click on the "ANSWER NOW!" button in the email, or check the Homehub to see which surveys are still open and which ones you have already answered. You can view and edit your answers in the Homehub until the deadline.

  4. Use the rating/response scales to answer the questions.

  5. If you want to provide an additional comment to the rating scale, or if the question requires a comment, enter it in the comment field.

  6. When you reach the end of the survey, you will see a message that says "Thank you very much!" if there are no more surveys to answer. If there are still surveys to answer, the message will say "Thanks a lot, keep up the good work!"

 

 

Analysis of results

Depending on which authorization a user has (administrator and non-administrator), the variety of options for evaluation is limited.

For this reason, the following is divided into Every user and Administrator.

The basis for the evaluation is that the respective user is authorized to see the answers.


Administrator

Administrators have several starting points to effectively evaluate surveys. On the one hand, like everyone else on the profile of the person to granularly analyze each question with a trend over time. On the other hand, you can use the heatmap to get an overview and, for example, compare people from individual departments. Find out who the high performers of your company are.


Again, it is essential for the evaluation that the admin is authorized to see the answers.


Personal profile:

  1. Navigate to your desired person's profile via the magnifying glass icon in the main menu.

  2. Click on the "RESULTS" tab.

  3. Filter by "PERSONS."

  4. Select the survey.

  5. Directly select the topics and questions you want to view or evaluate. You can also limit the time frame if necessary.


Heatmap:

  1. Navigate to the heatmap by clicking on the graph icon in the menu.

  2. Filter the heatmap display by user characteristic (e.g., management or executive) or survey.

  3. The heatmap will show you the results of departments and the overall organizational result compared.

  4. Click on the department on the left where you want to contrast the people.

  5. Now you can view the evaluations of topics and questions about the people in the department as granularly as necessary.

 

Every user

  1. To view results about yourself, navigate to your own profile.

  2. To view results about a team member, click on their name in the "MY TEAM" tab on your profile and navigate to their profile.

  3. To view results about other people, enter their name in the search box after clicking on the magnifying glass icon in the main
    menu.

  4. Click on the "RESULTS" tab.

  5. Filter by "PEOPLE."

  6. If you are authorized to see the survey answers, you can find them under the respective topics.

  7. From here, you can evaluate the individual questions of the topics as granularly as necessary.

  8. From here you can granularly evaluate the individual questions of the topics.
